Transaction Codes
The feature is available to Users with Manager Role and any User with a PLUS license.
Transaction Codes can be used to track services provided of non-monetary nature. Transaction codes can be used to track the various steps of a Program.
- e.g. The Weatherization Program can have a code to indicate the step the participant is in.

- e.g. Transaction codes can be used to track Leave Time
- FMLA time
- Jury Time
- Military Leave time
- PTO Time
- Sick Time
- Code: A text value; could be alphanumeric.
- Description: A text description of the transaction code and its purpose.
- Status: as Active or Inactive.
- Transaction Type: as appropriate to classify for reporting. Use L is for Logs. See Transaction types for details.
Set Up Transaction Codes
- Login with your credentials.
- Click the Admin menu option.
- Click the Transaction Code menu option.
- Click the Add button on the Transaction Code screen
- Enter Code: A text value; could be alphanumeric.
- Enter Description: A text description of the transaction code and its purpose.
- Select Status: as Active or Inactive.
- Select Transaction Type: as appropriate to classify for reporting. Use L is for Logs.. See Transaction types for details.
- Click Save.
Optional Fields :
- Hours: can be set to Yes or No. If set to yes, will populate the Default Hours when used to create a Transaction Log entry.
- Hours default: takes an integer value and gets automatically assigned to a Transaction Log entry where the code is used.
- Update Last Client Contact: can be set to Yes or No.
- Update Last Client Payment: can be set to Yes or No.
- Update Client Group Assigned: can be set to Yes or No. Will update the household record; when the code is used for a participant. Will update the Client Group Assigned to the household. Will set it to the Client Group assigned to the code.
- Client Group : select from predefined values to indicate which client group the household should be classified as when the code is used to create a transaction with the participant. See LookList Values for details.
- Federal Category : Optional data capture. Users can use the options to categorize the Program for Reporting. The values in drop-down are: Employment, Education, Housing, Income Management and Unspecified.
- Service Category : Optional data capture. Users can use the options to categorize the Program for Reporting. The values in drop-down are: Employment, Education, Housing, Income Management and Unassigned.
- Productivity Category : Optional data capture. Users can use the options to categorize the Program for Reporting. The values is: Unassigned.
- Fund Sources : Optional data capture. Users can use the options to associate the fund source to the code. The values in the drop-down are pulled from a list of fund sources. See Fund Source for details.
- Program : Optional data capture. Users can use the options to associate the program to the code. The values in the drop-down are pulled from a list of programs. See Programs for details.
- Self Sufficiency Factor : Optional data capture. Users can use the options to categorize the Program for Reporting. The values in drop-down are: Education, Employment, Health Insurance, Income, Mental Health, Parenting, Shelter, Subsistence, Substance Abuse, Transportation and Unassigned.
User Default Fields 1 to 6
- These are blank fields that can be used to implement special case features for clients. One special case scenario is relabeling the codes for Reporting. We use this for time reports.
